Overview

Assists managers and supervisors by performing advanced administrative activities and functions for daily operational employee requirements and business processes.  Acts as first point of contact for all department employees with any payroll or benefit issues including employee retirement processing and coordination with Employee Service Center. Processes include manpower alignment i.e. shift bids, vacation bidding, overtime call-in and tracking, profile updates, badging and records maintenance. Financial processes will include the processing and reconciliation of invoices, P-cards, expense reports and payroll.   Additional duties include support of employment/recall processes, correspondence, employee training reporting, local events coordination, uniform program administration and the ordering office supplies and equipment. Position will include development of competency in data management systems, i.e. ETA, scheduling systems, Learning Network and Ariba.

Responsibilities
  • Communicates effectively and professionally with internal and external customers
  • Represents the respective leadership team and the organization in a highly professional manner
  • Demonstrates the ability to handle multiple tasks with minimal supervision
  • Takes initiative on requests and inquiries of administrative nature
  • Recommends action to improve administrative processes to help streamline work and efficiency
  • Provides work direction, guidance and training for the Business Coordinator(s) - GSE and Facility Maintenance (as necessary)
  • Develops and maintains statistical data and prepares information and reports pertaining to financial, operations, performance and OSHA data
  • May provide forecasts of future manpower requirements and may assist in coordinating the adjustment/utilization of staffing resources to meet workload requirements to assure efficient cost and performance control
  • Will require competency in utilizing data management systems, i.e. ETA, scheduling systems, Learning Network, Managers' Toolbox and Ariba
  • Provides administrative support in financial processes including the payment and reconciliations of expenses associated with invoices and P-cards and, expense reports
  • Administrative duties include travel itineraries and accommodations, scheduling of conference calls, conference room and special departmental functions
  • Additional duties include support of employment/recall processes, correspondence, employee training reporting, local events coordination, uniform program administration and the ordering office supplies and equipment
Required
  • High school Diploma/GED or equivalent
  • Proficient in MS office package
  • 2 year(s) experience in jobs involving reporting and analytical work

Preferred

  • Company data base familiarity- U-Source
  • AA degree or equivalent experience

Other

  • Must be legally authorized to work in the United States for any employer without sponsorship
  • Successful completion of interview required to meet job qualification
  • Reliable, punctual attendance is an essential function of the position
  • Must be flexible to work different shifts depending on operational need
